Schedule: Friday – Wednesday, 4pm-12am.

Job Summary 
Under the direction of the Senior Key Account/Commodity Manager, this position will provide a full range of administrative support for the sales/commodity department. 

Duties/Responsibilities:  

  • Manage daily inventory and order activities, including updating shipment estimates and coordinating orders, transfers, and product shortages with internal teams.  

  • Communicate inventory shortages to Purchasing and resolve quantity discrepancies within internal systems.  

  • Prepare and maintain weekly and daily shipment estimates based on actual data, ensuring accuracy across all warehouses and systems.  

  • Validate updates from key stakeholders and maintain accurate sequencing and forecasting data.  

  • Update master estimate tools and internal systems to reflect current shipment activity.  

  • Coordinate shipping and receiving operations by maintaining daily schedules, prioritizing inbound and outbound shipments, and ensuring timely unloading and dispatch of trucks.  

  • Monitor dock schedules and track shipment ETAs to support efficient operations.  

  • Oversee inbound processing by verifying product arrivals, completing quality control documentation, and ensuring products meet established standards prior to receipt.  

  • Ensure proper purchase order authorization is obtained before receiving inventory.  

  • Maintain compliance with regulatory requirements, including verifying FDA release status prior to product movement.  

  • Identify and resolve quality control and system discrepancies, initiating corrective actions as needed.  

  • Allocate product based on customer specifications, including labeling, packaging, pallet configuration, and compliance requirements.  

  • Manage inventory status and release orders for loading in alignment with customer and operational needs.  

  • Coordinate with internal teams to fulfill customer-specific requirements as needed.  

  • Provide timely communication regarding inbound shipments, order status, and loading timelines to internal stakeholders.  

  • Prepare and distribute required documentation, including packing lists and system verification details.  

  • Track and report transportation performance, including delays and on-time metrics, and maintain tracking tools to support operational visibility and continuous improvement. 

Skills/Qualifications: 

  • Associates Degree in Business or equivalent experience 

  • Proficient in Microsoft Office Suite; including SharePoint 

  • Experience working with an ERP system, preferably Famous 

  • Able to work efficiently and with accuracy under pressure while meeting tight deadlines 

  • Ability to handle confidential information in a professional manner 

  • Punctual, regular, and consistent attendance, and ability to work nights and weekends. 

  • Must be able to read and write in English 

  • Bilingual in English and Spanish is required
